A virtual assistant you have to manage is just another job.

The usual way to hire a virtual assistant goes like this. You post on a marketplace, interview a dozen strangers, pick one, then spend a month writing instructions. Six weeks later they disappear, or they do exactly what the task said and nothing it meant. The work lands back on your desk, and you decide virtual assistants do not work for a serious business.

The idea was never the problem. Training, oversight and accountability were missing. A RevHires virtual assistant is dedicated to your company alone, trained on your SOPs through Voice Cloning before day one, and scored daily by a pod lead who answers to you. If quality slips, we fix it fast or replace them at no extra staffing charge.

The role

What does a Virtual Assistant (VA) do?

A virtual assistant, or VA, is a remote administrative professional who handles the recurring operational work that keeps a business running: shared inboxes, scheduling, CRM updates, research, document prep and vendor follow-up. Some companies call the role a remote administrative assistant or operations assistant. Unlike an executive assistant, who is dedicated to one leader, a VA usually supports a founder plus a team or department, working from documented processes and turning repeatable tasks into owned, reliable workflows.

Shared inbox management

Monitors your support, info and sales inboxes, routes messages to the right owner, answers routine questions from approved templates, and tags every thread so nothing sits unanswered. Keeps response times inside the targets you set and flags anything urgent to a named person in Slack.

Scheduling and coordination

Books interviews, client calls, vendor visits and internal meetings across several calendars. Sends confirmations and reminders, handles reschedules without endless back and forth, and maintains one shared view so your team always knows who is meeting whom, when and about what.

CRM and database hygiene

Updates contact records, logs activities, merges duplicates and fills missing fields in HubSpot, Salesforce or your own system. Clean records keep your reports accurate and stop your sales and support teams from hunting for the right phone number or deal owner.

Research and comparisons

Researches vendors, competitors, prospects, event venues or pricing, and delivers findings in a structured spreadsheet with sources. Every request comes back in the same format, so you can compare options in minutes instead of reading through a long, unstructured email summary.

Order and vendor follow-up

Tracks purchase orders, confirms deliveries, chases late shipments and keeps vendor contact sheets current. For ecommerce and service businesses, follows up on open orders and missing paperwork, so your operations lead is not spending afternoons on routine status calls.

Document preparation

Formats proposals, contracts, SOPs and slide decks from your templates, sends documents for signature through DocuSign or PandaDoc, and files completed copies in the correct folder. Keeps version control tidy, so the team always works from the latest approved document.

Process documentation

Turns the tasks you explain on a quick Loom recording into written, step by step SOPs. Over time, your VA builds the operations manual you never had time to write, which makes onboarding faster and protects you when people change roles.

Reporting and recurring admin

Pulls weekly numbers from your CRM, ad accounts or help desk into a standard report, updates trackers, renews subscriptions and handles the small recurring jobs that eat a manager's week. Each task runs on a checklist your pod lead audits during QA.

How we screen for this role

Virtual assistant candidates complete a multi-part work sample. They follow a written SOP to update CRM records that contain planted errors, triage a shared inbox of 30 mixed messages, and build a short research brief with sources under a time limit. A live video interview tests spoken English and how they ask clarifying questions. We score accuracy, instruction-following and judgment, then check references from prior administrative roles.

Cost

US hire vs RevHires: the real monthly cost

The US benchmark is the May 2025 BLS median base pay for administrative assistants, about $3,960 a month, plus a 30% load for payroll taxes and benefits. That excludes recruiting time, software seats and turnover. Through RevHires, a full-time hire in this role typically earns $6 to $15 per hour. The RevHires figure uses the top of that range, $15 per hour at 40 hours, paid direct to your hire or through RevHires, plus one flat placement fee. Want the team managed for you? FAQ

Questions buyers ask before they hire

How much does it cost to hire a virtual assistant through RevHires?

Through RevHires, a full-time virtual assistant typically earns $6 to $15 per hour, about $1,040 to $2,600 per month, paid direct to your hire or through RevHires. You pay one flat placement fee, and only when you hire. Want the team managed for you? Done-for-you pricing is covered on your strategy call.

How is a RevHires VA different from hiring a virtual assistant on a marketplace?

On a marketplace you get a contractor and do all the recruiting, training and supervision yourself. With RevHires you get a dedicated team member who works only for you, is trained on your SOPs before day one, and is scored daily by a pod lead. If performance slips, we coach or replace at no extra staffing charge. You manage outcomes, not a person.

How quickly can a virtual assistant start?

Seven days. Day 1 is discovery on your tools and recurring tasks. Days 2 to 3 are SOP Voice Cloning, where your VA learns your templates, rules and tone. Days 4 to 5 are scenario training on real examples from your business, Day 6 is QA calibration, and on Day 7 your VA is live inside your systems.

What English level and work style should I expect?

We recruit from the top 1% of enterprise talent in Latin America, South Africa and Egypt. Your VA is college-educated with near-native English, and many have backgrounds at companies like Vodafone, Amazon, Microsoft and Salesforce. They are trained to communicate the way US teams expect: concise updates, clear questions and proactive flags when something looks wrong, rather than silence until a deadline passes.

Will my remote virtual assistant work my time zone?

Yes. Your VA works your US business hours on Eastern, Central, Mountain or Pacific time, and we also support Canadian, UK and Australian companies on their local hours. That means real-time Slack replies, same-day turnaround and no overnight lag on requests you send mid-morning. Your VA is online when your team is, which is the whole point.

How do you protect our data and accounts?

Every engagement includes a signed NDA and our data handling protocols. We recommend role-based access and a shared password manager, so your VA never holds personal credentials and you can revoke access in minutes from your side. For healthcare clients, we sign BAAs and our team is trained on HIPAA-aligned data handling.

What if I hire a virtual assistant and it does not work out?

Raise it with your pod lead. We first check whether the issue is a training gap and fix it with targeted coaching. If it is a fit problem, we replace your VA at no extra staffing charge and train the new person on the same SOPs, so you do not start over. Plans are month to month, so you are never locked in.
