Unpaid invoices do not age well. Neither do angry customers.

Past-due accounts are where cash flow quietly leaks. Your team means to follow up, but billing questions, new sales and month-end close always come first. By the time someone calls, the invoice is 90 days old, the contact has changed and the customer is irritated. Push too hard and you lose the relationship. Wait too long and you lose the money.

When you hire a collections specialist through RevHires, follow-up becomes consistent and controlled. Your specialist is trained on your scripts, payment options and escalation rules through SOP Voice Cloning before day one, and every call follows the compliance guardrails your team approves. A pod lead reviews calls daily, so tone and accuracy stay exactly where you set them.

The role

What does a Collections Specialist do?

A collections specialist, also called a collections agent, accounts receivable specialist or bill and account collector, contacts customers with overdue balances and works with them to resolve what they owe. That means calls, emails and texts, explaining balances, negotiating payment plans within approved limits, processing payments and documenting every interaction. For businesses collecting their own receivables, known as first-party collections, the role protects both cash flow and the customer relationship. Done well, it recovers revenue without burning goodwill.

Past-due account outreach

Works your aging report by priority, contacting customers by phone, email and text at the stages you define, such as 15, 30, 60 and 90 days past due. Uses approved templates and call scripts, so every touch is consistent, professional and documented.

Payment plan negotiation

Discusses options with customers who cannot pay in full, offering payment plans, partial settlements or new due dates only within the limits you authorize. Confirms terms in writing and schedules installments, so agreements are clear and nothing depends on someone remembering a phone call.

Payment processing

Takes card and ACH payments over the phone through your payment portal or processor, sends receipts and posts payments to the correct accounts. Follows your data handling rules for payment information, so sensitive card details never end up in notes or emails.

Dispute and billing resolution

Logs billing disputes and questions, gathers invoices, contracts and delivery records, and routes them to your billing or account team. Pauses collection activity on disputed items according to your policy, and follows up until each dispute is resolved and documented.

Right-party contact updates

Updates outdated contact information using only the sources and tools you approve, verifies the right party before discussing any balance, and records every change. Keeps billing records current, so statements and reminders reach the people actually responsible for paying them.

Compliance-aware communication

Follows FDCPA-aware scripting and your approved call windows, contact frequency limits and required disclosures. Honors cease-contact and do-not-call requests, avoids threats or misleading statements, and escalates legal questions to your team. Your counsel sets policy, and your specialist executes it consistently.

Account documentation

Logs every call, email, promise to pay and dispute in your CRM or billing system with dates, outcomes and next steps. Clean notes give your finance team an accurate picture of each account and a reliable record if a customer questions what was said.

Promise to pay follow-up

Tracks every payment commitment and follows up the day a promised payment is missed. Sends reminders before installment dates, flags broken plans for escalation and reports weekly on promises kept, dollars collected and accounts ready for your next step.

How we screen for this role

Collections candidates complete three scored role plays: a customer who cannot pay in full, a customer who disputes the balance, and a customer who gets angry and asks to stop being contacted. We grade right-party verification, tone, accuracy and whether they stay inside approved offers and disclosures. A written test covers FDCPA-aware conduct and documentation standards. Candidates also log a mock call in a CRM, so we can check note quality.

Cost

US hire vs RevHires: the real monthly cost

The US benchmark is the May 2025 BLS median pay for bill and account collectors, about $3,920 a month, plus a 30% load for payroll taxes and benefits. It excludes incentive pay, recruiting and training time. Through RevHires, a full-time hire in this role typically earns $6 to $15 per hour. FAQ

Questions buyers ask before they hire

How much does it cost to hire a collections specialist?

Through RevHires, a full-time collections specialist typically earns $6 to $15 per hour, about $1,040 to $2,600 per month, paid direct to your hire or through RevHires. You pay one flat placement fee, and only when you hire. Want the team managed for you? Done-for-you pricing is covered on your strategy call.

Are your collections specialists trained on the FDCPA?

Our specialists are trained on FDCPA-aware scripting: right-party verification, approved call windows, contact frequency limits, honoring cease-contact requests and avoiding threats or misleading statements. RevHires does not provide legal advice. Your legal or compliance team should approve scripts, disclosures and policies for your business and the states you collect in, and your specialist follows them exactly.

How fast can I hire a collections specialist?

Seven days. Day 1 is discovery on your aging report, policies and systems. Days 2 to 3 are SOP Voice Cloning on your scripts, payment options and escalation rules. Days 4 to 5 are role scenario training on hardship, dispute and angry-customer calls, Day 6 is QA calibration with your team, and on Day 7 your specialist is live.

Can a specialist abroad handle sensitive money conversations with US customers?

Yes. We recruit college-educated, near-native English speakers from the top 1% of enterprise talent in Latin America, South Africa and Egypt, and we screen specifically for calm, empathetic phone presence under pressure. Training covers US payment norms, common hardship situations and how to de-escalate without conceding beyond your approved limits. Your customers hear a professional, not a pressure tactic.

What hours do offshore collections agents work?

Your specialist works your US business hours from Latin America, South Africa or Egypt, inside the call windows your policy allows for each customer's local time zone. That timing matters in collections, where reaching people at reasonable hours is both more effective and part of compliant practice. We also support Canadian, UK and Australian companies on their local hours.

How is payment and customer data protected?

Every engagement includes a signed NDA and our data handling protocols. Specialists take payments only through your approved portal or processor and never record card details in notes or email. Access is limited to what the role needs, and you can revoke it at any time. For healthcare clients, we sign BAAs and train on HIPAA-aligned data handling.

How do you keep quality high, and what if a specialist is not working out?

A pod lead reviews calls daily against a QA scorecard covering verification, tone, accuracy, script adherence and documentation. Weekly reviews track promises to pay and dollars collected alongside quality, so nobody is rewarded for pushing too hard. Issues get coached right away, and if the fit is wrong we replace the specialist at no extra staffing charge.
